Paper visitor logs are a HIPAA liability.
Handwritten sign-in sheets expose patient names to every visitor in the lobby. They can't enforce visiting hours, screen for restricted patients, or generate audit reports. And when Joint Commission walks in, a binder of scribbled names won't pass review.
Exposed patient information
Paper logs display patient names, room numbers, and visit reasons to every visitor who signs in after them
No restricted patient enforcement
Staff rely on memory to block unauthorized visitors — a dangerous gap for protective orders and behavioral health
Audit-proof records don't exist
Illegible handwriting, missing timestamps, and lost binders make HIPAA audits and Joint Commission reviews a nightmare
Everything a healthcare facility needs. Built in from day one.
Not bolted on. Not "coming soon." Every feature below is live, HIPAA-compliant, and working today.
Health Screening Questionnaires
Visitors complete digital health screening before they enter patient areas. Symptom checks, vaccination status, and exposure questions — all configurable per department. Automatic flagging routes symptomatic visitors to secondary screening.
HIPAA-Compliant Visitor Logs
Every visitor interaction is logged with timestamps, destinations, and host staff — encrypted at rest with AES-256 and in transit with TLS 1.3. Audit-ready reports generate in one click for Joint Commission reviews or HIPAA audits.
Restricted Patient Alerts
Flag patients under protective orders, behavioral health holds, or restricted visitation. When someone attempts to visit a restricted patient, the system blocks check-in and alerts security and nursing staff instantly.
Touchless QR Check-In
Pre-registered visitors scan a QR code from their phone — no shared kiosks, no touchscreens, no infection risk. Perfect for flu season, COVID protocols, or any time you need to minimize contact surfaces in clinical areas.
Department-Level Access Control
Control visitor access by department, floor, or unit. NICU, behavioral health, and oncology can have stricter rules than general med-surg — different screening questions, different visiting hours, different badge colors.
Visitor Time Limits
Set maximum visit durations by department or patient acuity level. ICU might allow 30-minute visits; postpartum might allow all day. Automated reminders notify visitors when their time is expiring, and staff when it has expired.
NDA & Confidentiality Agreements
Vendors, contractors, and even certain visitors digitally sign NDAs and confidentiality agreements before receiving a badge. Signed documents are stored with the visitor record and retrievable for compliance review.
Pharmacy Delivery Tracking
Log every pharmaceutical delivery with driver ID, delivery company, timestamp, and receiving staff member. Chain-of-custody documentation for controlled substances meets DEA and state pharmacy board requirements.
Infection Zone Alerts
Designate units or rooms as active infection zones. Visitors checking in to affected areas receive PPE requirements and exposure warnings. Staff are alerted when unauthorized visitors attempt to enter quarantined zones.
From lobby to badge in under 30 seconds.
No training manual needed. If your front desk can tap a screen, they can run KyberAccess.
Visitor Scans ID
Driver's license scanned or QR code from pre-registration presented. Name, photo, and details extracted instantly.
Health Screening
Visitor completes department-specific health questionnaire on the kiosk or their own phone. Symptomatic visitors are flagged immediately.
Patient Verified
System checks the patient's visitor restrictions, visiting hours, and department policies. Unauthorized visitors are blocked before badge prints.
Badge & Notification
Department-coded badge prints with visitor photo and destination. Nursing staff receive instant notification that their patient's visitor has arrived.
Built for the way healthcare actually works.
From patient visitors to pharmaceutical deliveries — every scenario covered.
Patient Visitors
Visitors scan ID, complete health screening, and receive a department-specific badge — all in seconds. Nursing staff are notified instantly. Visiting hour enforcement is automatic.
Vendor Credentialing
Medical device reps, pharmaceutical reps, and service vendors pre-register with credentials and sign NDAs before arriving. Expired certifications block check-in until renewed.
Contractor Access
HVAC, plumbing, and IT contractors check in with ID and proof of insurance. Access is limited to approved areas and time windows. Background checks run automatically.
Pharmacy Deliveries
Track every pharmaceutical delivery from dock to pharmacy with chain-of-custody logs. Driver verification, receiving staff signatures, and controlled substance documentation — all digital.
Behavioral Health Units
Enhanced screening for behavioral health visitors: belongings restrictions, approved visitor lists, and real-time alerts. Contraband policies displayed and acknowledged before entry.
Emergency Departments
High-volume, fast-moving ED visitor management. Quick check-in for patient family, automatic capacity alerts when waiting areas fill, and instant lockdown capability during security events.
Hear from healthcare facilities like yours.
"We used to have paper sign-in binders at every nursing station. Now we have a real-time dashboard showing every visitor in the building, and our HIPAA audit went from a two-week scramble to a one-click report."
Dr. Angela Reeves
Chief Compliance Officer, Meridian Health System
"The restricted patient alerts stopped a custody dispute situation before it escalated. The estranged family member was flagged the moment they scanned in, and security was there in 90 seconds. That feature alone is worth the entire system."
Marcus Tillman
Director of Security, Valley General Hospital
"Our nurses used to spend 10 minutes per visitor doing paperwork and calling down to the lobby. Now visitors scan their QR code, get screened, and show up with a badge. The nursing staff can actually focus on patients."
Patricia Haynes, RN
Nurse Manager, ICU, Lakewood Medical Center

Common questions from healthcare administrators.
Is KyberAccess actually HIPAA compliant?
Yes. We sign a Business Associate Agreement (BAA) with every healthcare customer. All PHI is encrypted at rest (AES-256) and in transit (TLS 1.3). We undergo annual SOC 2 Type II audits, maintain strict access controls, and provide full audit trails for every visitor interaction. Our architecture was designed for HIPAA from day one — not retrofitted.
How does the health screening work?
Visitors complete a configurable digital questionnaire on the kiosk or their own phone via QR code. Questions can include symptom checks, vaccination status, recent travel, and exposure history. You can set different screening protocols per department — for example, stricter screening for oncology or NICU. Symptomatic visitors are automatically flagged and routed to secondary screening.
Can we restrict certain patients from having visitors?
Absolutely. You can flag any patient as restricted, with full or partial visitor blocks. When someone attempts to visit a restricted patient, the system blocks check-in, does not reveal room information, and immediately alerts security and the nursing station. Works for protective orders, behavioral health holds, and any scenario where visitor access must be controlled.
What happens if our internet goes down?
KyberAccess caches visitor data locally on the kiosk device. Check-ins continue offline with locally stored restriction lists and screening protocols. When connectivity returns, all data syncs automatically. For critical alerts (restricted patients), offline mode still enforces blocks using cached data.
How does this integrate with our EHR?
We offer native integrations with Epic, Cerner (Oracle Health), MEDITECH, and Allscripts. For other systems, our HL7 and FHIR APIs allow custom connections. Patient census data, visiting hour rules, and restriction flags sync in real time. No manual CSV imports or IT projects required — most integrations are live within a week.
Can different departments have different visitor rules?
Yes — this is one of our most-used features. Each department, floor, or unit can have its own visiting hours, screening questions, badge colors, visitor limits, and time restrictions. NICU might allow only two pre-approved visitors per day, while general med-surg allows open visitation. All configurable from the web dashboard without any code changes.
